Refund summary

Quick overview before the detailed terms below.

1. Failed or unverified payments

If a payment attempt fails or is not verified by the payment gateway, no slot is confirmed and no amount is debited from your account in most cases. If an amount was debited but the booking was not confirmed, please contact your bank first.

If the amount was captured by the payment gateway but the booking was not confirmed on our platform, contact us immediately at support@vihartours.co.in with the payment reference. We will investigate and process a full refund within 7–10 working days if the payment is confirmed at our gateway end.

2. Cancellation by you — online payment campaigns

If you need to cancel a confirmed booking:

  • More than 15 days before departure: Full refund of the amount paid, less payment gateway charges (typically 2–3% of the transaction amount charged by the gateway, not by Vihar Tours).
  • 7 to 14 days before departure: 50% refund of the slot price.
  • Less than 7 days before departure: No refund.
  • No-show on departure day: No refund.

Cancellation requests must be submitted via WhatsApp (+91 93475 56927) or email (support@vihartours.co.in) with your booking reference and purchase code. Verbal requests are not accepted.

3. Cancellation by you — approval-based campaigns

If you cancel an approved booking before payment is collected, no refund is applicable as no amount was charged. The slot will be released.

If payment was collected after approval and you subsequently cancel, the same time-based refund schedule above applies, calculated from the tour departure date.

4. Cancellation by Vihar Tours

If Vihar Tours cancels a campaign or tour for any reason (insufficient bookings, weather, natural disaster, government order, or other force majeure events), all confirmed travellers will receive:

  • A full refund to the original payment method, or
  • An equivalent wallet credit that can be used toward any future tour campaign — at the traveller's choice.

Refund or credit will be processed within 7–10 working days of the cancellation announcement.

5. Rescheduling by Vihar Tours
If a tour is rescheduled (not cancelled) and you cannot travel on the new date, you may request a cancellation and full refund by notifying us in writing within 48 hours of the rescheduling announcement. After 48 hours, the standard cancellation policy applies.
6. Reward campaign refunds

For campaigns that include a draw element, the slot price pays for your tour seat — not for the reward itself. The draw result (winning or not) does not affect the refund eligibility of your slot booking.

If you cancel a reward campaign booking, the standard refund schedule above applies. Draw entries already submitted cannot be reversed.

7. Wallet credits and refunds

If wallet credit was used to partially offset a booking, the refund for the wallet portion is credited back to your Vihar Tours wallet. The refund for the cash portion (paid via gateway) is credited back to your original payment method.

Wallet credits are non-withdrawable and cannot be converted to cash.

8. Refund processing time

Approved refunds are processed within 7–10 working days. The actual credit to your account depends on your bank or card issuer and may take an additional 3–5 working days beyond our processing date.

UPI refunds are typically faster (2–5 working days). If you haven't received a refund within 15 working days of approval, contact us with your booking reference and we will provide the transaction ID from our gateway.

9. How to request a refund

To request a cancellation and refund:

  1. WhatsApp us at +91 93475 56927 or email support@vihartours.co.in.
  2. Provide your Purchase Code (found in your booking confirmation message and under My Entries in your account).
  3. State the reason for cancellation.
  4. We will confirm eligibility and initiate the refund within 2 working days of receiving your request.
10. Disputes
If you believe a refund decision is incorrect, please escalate by emailing support@vihartours.co.in with the subject line "Refund Dispute — [Purchase Code]". We will review within 5 working days. Disputes are governed by the laws of India and subject to the jurisdiction of courts in Hyderabad, Telangana.
